AI Conversation Retention Policy: A Practical Template for Teams

Organizations are quickly accumulating AI conversations without a clear rule for what those conversations are. Some are disposable brainstorming. Others document decisions, code, client analysis, draft language, or operational procedures. A retention policy gives those categories a consistent treatment.

Start with the business purpose, not the AI vendor

A good retention rule should survive a platform change. Instead of “keep ChatGPT chats for 90 days,” define categories such as transient brainstorming, project working records, approved deliverables, security incidents, customer-support analysis, or regulated records. The retention period should follow the business purpose and applicable policy.

NIST's AI risk framework is a useful governance reference

The NIST Generative AI Profile is designed to help organizations incorporate trustworthiness considerations into generative-AI use across the lifecycle. It is not a retention schedule, but its risk-management approach reinforces an important principle: define ownership, context, measurement, and controls instead of treating AI use as an ungoverned side channel.

A simple four-class model

  • Disposable: low-value experimentation with no lasting business significance.
  • Working: useful project context that should live for the life of the project.
  • Record: material that supports a decision, deliverable, audit trail, or contractual work product.
  • Restricted: content containing sensitive data that needs stronger access, redaction, or may not be appropriate to retain at all.

Define the authoritative copy

If an AI answer becomes part of a final report, the final approved report may be the authoritative record while the exploratory chat remains a working file. In other cases, the conversation itself explains why a decision was made and deserves retention beside the deliverable. Avoid keeping five unmanaged copies with no idea which one matters.

Separate retention from platform history

Leaving a conversation in an AI sidebar is not a retention policy. Account settings, workspace admins, plan changes, deletion rules, and vendor features can change. Important records should be moved into the organization's normal records system in a format that can be opened without the original AI interface.

Include privacy review in the disposition rule

A working chat may contain more sensitive detail than the final record requires. Before promoting it into a long-term archive, review names, health information, financial identifiers, credentials, internal hostnames, and attachments. Retention can increase exposure simply because data exists for longer.

Assign owners and triggers

Every category needs an owner and a trigger. “Keep working chats until project close, then review within 30 days” is actionable. “Keep useful chats as needed” is not. The owner may be the user, project manager, records team, or system administrator depending on the environment.

Example policy language

AI conversations are retained according to the business record they support, not according to the AI platform used. Users must move record-worthy conversations or approved excerpts into the designated repository, review sensitive information before sharing, and delete disposable copies according to the applicable project or records schedule.

What an exporter can and cannot do

An exporter can help create a scoped, readable, locally processed copy. It cannot decide whether the content is legally required, whether a litigation hold applies, or how long a regulated organization must retain it. Those decisions belong to the organization.

Good retention is selective. Keep important context deliberately; do not turn every prompt into permanent data by default.
